What Dweller Keeps Track Of
The jobs a landlord does every year, and what Dweller does for each. Rent still goes straight to you, and your accountant still files.
Rent, Month by Month
On rent day your tenant gets a short email and taps “I’ve sent it.” On the 5th you get one email, and another on the 10th if anything is still open; check it against your bank and tap once. Rent still goes straight to you: Dweller never takes or moves it.
- A short email to your tenant on rent day with one tap for 'I've sent it', and overdue follow-ups
- On the 5th, one email to you: who says they’ve sent it, the day they said so, and any reference they gave
- Check your bank, tap once, and each tenant gets a receipt
- Rent reminders are on by default for new properties, and you can turn them off in Settings
- Rent tracking across all properties in one view
A New Tenant
Post your ad anywhere. Send everyone who asks the same application link, then give each person you invite to view their own booking link.
- Applicants side by side, and their references answer online
- You collect the references and run any credit check yourself: Dweller doesn’t screen applicants
- An offer, conditional on both of you signing a written lease
- A lease written on Newfoundland’s Residential Tenancies Act, 2018, which you both sign online
- Your tenant gets the signed copy by email when you sign, and Dweller records when it went
Formal Notices: Prepared, Dated, Emailed and Recorded
A casual text or portal message isn’t notice. The clear electronic route is email to an address the tenant gave you for documents, with the signed form itself; whether a phone number or Messenger account counts isn’t settled, so use a method the Act clearly lists. A notice served the wrong way or dated too early can cost you months. Dweller prepares the notice, works out the dates from how and when you serve it, and keeps the record. If you choose to email it from Dweller, it goes with the PDF attached to the address your tenant gave for documents, and Dweller records when it went. You’re the one serving it. General information, not legal advice.
- Notice to Enter, Notice to Increase Rent, Notice to Terminate, and Notice to Terminate Early for unpaid rent, laid out like Newfoundland’s Residential Tenancies forms
- Deadlines counted from the way you serve it (in person, mailbox, posting, registered mail or email), with too-early dates refused
- Emailed with the PDF attached, only to an address your tenant gave for documents
- A service record laid out like the Affidavit of Service that you and your tenant can both print
- Registered mail counts from the fifth day after mailing, and an email sent after 4 p.m. counts from a later day
- Signed electronically, and the PDF can’t be changed once it’s issued
- The unpaid-rent notice lists what is owed, item by item, and tells the tenant how to pay it to cancel the notice
- The copy in the tenant’s portal is labelled not legal service
The Deposit and Move-Out
Record the account you hold the deposit in, with the interest worked out. The return deadline is counted from the day the tenant leaves, and move-out inspection photos sit alongside it. When someone moves out, the 10-day deadline shows on your dashboard.
- Deposit record, with the interest worked out
- Return it within 10 days unless, by then, you have the tenant’s written agreement or have applied to Residential Tenancies
- A CSV of the deposit record whenever you want it
Year-End for Your Accountant
Log every rental expense and hand over year-end records, organized for your accountant. Dweller puts each expense on its T776 line as you enter it. It is bookkeeping, not tax software: your accountant prepares and files the return.
- Each expense lands on its T776 line as you log it
- Capital purchases listed separately for your accountant
- One year-end package for your accountant: the expense list, the rent register, capital purchases and your original receipts
- Your accountant can have their own login, free
- Per-property income and expense summaries
Organized by T776 Line
- Advertising
- Insurance
- Interest and bank charges
- Office expenses
- Professional fees
- Management and administration fees
- Repairs and maintenance
- Property taxes
- Utilities
- Other expenses
- Capital purchases listed as you recorded them. Your accountant decides the CCA class and claim.
The Furnace, the Roof and the Tank
Know the age and condition of every furnace, roof, water heater and electrical panel you own. Dweller works out when each one is near the end of its usual life, with lifespans adjusted for Newfoundland weather, so you can plan the replacement instead of paying for an emergency.
- Track install dates, condition, and remaining useful life for every major system
- Failure estimates from typical lifespans for each system, adjusted for Newfoundland weather
- Per-property health indicators based on the system details you enter
- Historical timeline of replacements and repairs
What’s Due, and What We Can’t Date Yet
See which systems are due in the next 12 months, the next 1–3 and 3–5 years, and which ones Dweller can’t date yet.
- Years remaining for each system, from typical lifespans adjusted for Newfoundland weather
- Anything dated only by the building’s age is set aside until you answer one quick question
- Old drains, piping and foundations are shown as possible big-ticket items, never padded into the bill
- Figures in today’s dollars, labelled as estimates
Tenants and Their Portal
Your tenants get their own simple app, included in your plan. Keep texting as you do now; repairs, notices and the lease sit on a dated record instead of in a chat thread.
- Tenant portal where tenants can view their lease and unit info and submit maintenance requests
- Tenants see their rent and where to send it, and keep their own copy of the lease, rent record and notices
- Tenants send dated move-in photos, room by room
- Lease tracking with key dates, rent amounts, and renewal reminders
Repairs and Inspections
Stay on top of maintenance requests with a built-in ticket system. Tenants submit requests through their portal, you set the priority, and you track everything from report to resolution.
- Ticket system with status tracking and priority levels
- Move-in and move-out condition checklists with photo support
- Your own contractor list, with notes and what each job cost
Reminders
Dweller sends the follow-ups you would otherwise have to remember: lease renewals, key dates and seasonal jobs. The rent-day email and overdue follow-ups are under Rent, above.
- Lease expiry alerts before the renewal window closes
- Key date reminders for insurance renewals, inspections, and permits
- Seasonal maintenance tips delivered to tenants in their portal
